When starting research around the Polish Residence Card process, we all have encountered bittersweet stories from those applying for karta pobytu (Temporary Residence Card) in Poland. Solid preparation and correct evaluation of the situation can keep you away from unnecessary stress or any unforeseen trouble! Here’s how you should proceed with your karta pobytu application in Wrocław.
- Confirm the latest procedures: Poland’s Immigration Law changes come into effect in 2025. Check the official government website before visiting. Read my detailed blog explaining the rule changes here.
- Book an online appointment: Schedule a visit online to skip the line. But the waiting time for the visit can be a few months. Currently, the waiting time to visit Urzad Wrocław is 3 months!!
- Prepare all documents: Ensure you have every necessary document printed and in the correct order.
- Bring a Polish-speaking friend: This can be a lifesaver if you’re not fluent in Polish.
- Plan for delays: Expect long waiting times and potential return visits.

2. Getting a token: Welcome to the infamous queue system
Arrive at 6 AM (or earlier!). The queue outside Urząd Dolnośląski starts forming before dawn, and tokens are limited in number.
- Self-service kiosk vs. reception desk: Some services require using an electronic kiosk, while others require speaking to staff.
- Alternative to waiting in line: Applications can also be submitted by mail to the Urząd Dolnośląski postal address:

A yellow slip confirming the dispatch of the post is crucial to save for future reference. Additionally, the office also sends a confirmation of receipt of your documents by post. Save these small papers with the utmost caution!
Remember to enter your valid place of stay in the application form. Having sent the application form using post, you will be called for an appearance in person for your fingerprints to be taken. You must appear in person at the headquarters of the Lower Silesian Provincial Labour Office or in one of its Delegation Offices, approach the ticket machine of the line management system and select the ticket “appearance in person”.
In my opinion, postal submission isn’t the most ideal scenario, especially when your existing Polish residence permit/visa is about to expire soon (say a week or two)! At times, it can take several months to assign an inspector to your case. Many documents, such as proof of finances for students and a work contract, are invalid by then(if the current contract ends mid-application proceeding and is submitted without Annex 1) and must be submitted within a week of receiving the inspector’s summons letter.
3. Submitting your application
Double-check your paperwork for any missing or incorrect documents, which can cost you your waiting time. All the details must be filled in Polish.
- Photocopy everything: Keep extra copies of all important papers.
- Fees and payments: Pay fees into the given bank details before submitting, and attach the payment confirmation in Polish.
- Ask for a receipt: Collect your proof of submission and save it. It contains your case number, with which you can log in online to check your case progress and summon letters from your inspector.
4. What happens after submission? The never-ending wait!
According to the official government website, the standard karta pobytu application processing time usually takes up to 6 months, but can extend beyond a year.
- Checking your case status: While waiting, use the official Urząd website or call the Urząd Helpline at +48 71 701 11 00. Be informed that the waiting time for the call can be up to 1 hour.
- Address verification visits: Keep the Urząd updated with any residence address changes. Some applicants receive a visit from the border guards.
- Additional document requests: If the office requires extra paperwork or a resubmission, do it promptly within the given timeframe.
5. Decision received! What next?
If you received the positive decision, Congratulations! Now, you wait for the plastic card.
- Negative decision? You have 14 days to appeal a negative decision. My advice is don’t do it without a lawyer!
- Collecting your card: Another round of waiting; processing the physical card can take months.
- What to bring when collecting? Your passport, original decision letter, and proof of payment for the plastic card are required.
